Terms of Service

These Terms govern the use of Bilybyn, a training-load tracking service for sports clubs ("Bilybyn", "we", "us"), operated by Nilvoa, Belgium (VAT/BCE number BE1004043238). By creating a club account or logging in, a Club and its administrators agree to these Terms.
In short: a Club subscribes, its admins and coaches use the app to log attendance and training data, billing runs through Stripe with a 7-day free trial, and either side can end the relationship: the Club by cancelling, us by giving notice for misuse or non-payment.
The service
Bilybyn lets a Club's coaches log attendance, session duration and Rate of Perceived Exertion (and optionally Mindset, Application, Physical condition and medical notes) for its players, and view the resulting reports. The service is provided "as is": we work to keep it available and accurate, but we don't guarantee uninterrupted access. Bilybyn is a training-load monitoring tool, not a medical device or a substitute for professional medical advice.
Accounts
- A Club's first administrator creates the club account and is responsible for inviting and managing its own coaches, and for the accuracy of the data entered.
- Each coach account is personal; sharing login credentials is not permitted.
- Administrators are responsible for having the appropriate consent to enter player data (including from a parent or guardian for minors), per our privacy policy.
Subscription and billing
- New clubs get a 7-day free trial. A payment method is collected upfront via Stripe but is not charged until the trial ends.
- Plans are billed monthly or annually (annual billing includes 3 months free compared to paying monthly) and are priced by number of teams.
- Clubs with more than 15 teams are quoted individually: contact us.
- Subscriptions renew automatically until cancelled. You can cancel anytime; access continues until the end of the paid period, with no partial refunds for unused time.
- We reserve the right to restrict write access (not read access to existing data) for accounts with a failed or lapsed payment, after notifying the club's administrators beforehand.
- Card payments are processed entirely by Stripe; we never see or store your card number.
Acceptable use
Don't use Bilybyn to store data you're not authorised to collect, to attempt to access another club's data, or to disrupt the service (for example automated scraping, attempting to bypass rate limits or security controls). We may suspend an account that does.
Your data
You keep ownership of the data your Club enters into Bilybyn. See our privacy policy for how we process it, who else touches it (Supabase, Vercel, Stripe, Brevo) and how long we keep it. If a Club closes its account, its data is deleted within a reasonable time frame, except where we must keep billing records longer for legal or tax reasons.
Intellectual property
Bilybyn's software, design and branding belong to us. Subscribing gives your Club a right to use the service, not ownership of the software itself.
Liability
Bilybyn is a coaching support tool. We're not liable for decisions made based on its data (for example playing-time or medical decisions): those remain the coach's and club's responsibility. To the extent permitted by law, our liability is limited to the amount your Club paid us in the 12 months before a claim.
Changes
We may update these Terms as the service evolves. Meaningful changes will be reflected by updating the "Last updated" date above; continued use after a change means you accept the updated Terms.
Governing law
These Terms are governed by Belgian law. Any dispute not resolved directly falls under the jurisdiction of the Belgian courts.
